We are looking for a Learning Programs Coordinator to join our education team and help deliver engaging, accessible, and high-quality professional development experiences to our members.

Key Responsibilities:

The Learning Programs Coordinator, reporting to the Director of Education, will provide hands-on coordination and participant support across HRPA’s certificate programs and workshops. As a key point of contact for program registrants, you will help ensure a positive experience from registration through program completion.

Registrant Experience: Serve as a responsive, professional, and service-oriented point of contact for program registrants, answering questions by email and phone and providing clear, timely information throughout their learning journey.

Program Communications: Coordinate and distribute welcome messages, virtual or classroom details, learning materials, assignments, reminders and other program communications.

Program Coordination: Monitor registrations and program capacity, track attendance, follow up with absent registrants and help process cancellations and transfers in accordance with HRPA policies.

Materials and Certificates: Work with speakers to gather learning materials and ensure they are distributed accurately and on time. Prepare and distribute certificates following program completion.

Live Program Support: Welcome registrants and provide logistical and basic technical support during virtual, hybrid and in-person learning programs.

Feedback and Records: Distribute post-program surveys, compile participant feedback, and maintain accurate program and registrant records within HRPA’s systems.

Team Support: Collaborate with the Learning Programs Producer and the broader Education team to support program delivery, identify administrative improvements and contribute during busy periods and special projects.

Qualifications We’re Excited About:

Education: College diploma or equivalent combination of education and experience.

Experience:

  • 1 - 2 years of experience in administration, customer service, program coordination or event support.

  • Experience responding to member, customer, or client enquiries by email and phone.

  • Experience with data entry and maintaining accurate records, ideally using a CRM or similar database.

  • Experience supporting virtual or hybrid event / program delivery (e.g., Zoom, MS Teams, ON24) is an asset.

  • Experience with administrative coordination tasks such as scheduling, tracking, and document distribution.

Digital Confidence: Comfortable using Microsoft Word, Excel and Outlook, as well as CRM systems and virtual learning or meeting platforms such as Microsoft Teams, Zoom or ON24.

Customer Focus: Friendly, approachable and solutions-oriented, with excellent interpersonal and communication skills and a genuine interest in helping people.

Organization: Strong attention to detail and the ability to coordinate multiple programs, deadlines, and priorities in a fast-paced environment.

Initiative: Comfortable working with general direction, identifying potential issues and suggesting ways to improve administrative processes and the participant experience.
