Location: Toronto, Hybrid (In-Office 2-Days Per Week)

We’re looking for an Events Specialist to join our team on a maternity leave contract and help deliver exceptional, inclusive, and high-impact experiences.
What You’ll Do
Bring Events to Life: You’ll play a key role in delivering a diverse portfolio of events from concept to execution.
Plan and execute end-to-end events, including conferences, learning programs, and community experiences
Build and manage detailed timelines, workback plans, and logistics
Coordinate cross-functional teams, vendors, and partners to ensure seamless delivery
Oversee onsite execution and create exceptional experiences for attendees, speakers, and sponsors.
Support Engaging & Inclusive Programming
Coordinate speaker logistics and communications
Contribute to agenda development and audience experience
Help ensure diverse representation and inclusive design across all events.
Drive Continuous Improvement: We don’t just run events; we evolve them.
Analyze event performance (NPS, attendance, revenue) to identify opportunities for improvement
Contribute ideas to enhance formats, experiences, and engagement
Support post-event debriefs and continuous improvement initiatives
Stay current on event trends and best practices.
Leverage Technology & Innovation
Support or manage event platforms (registration systems, apps, virtual tools)
Troubleshoot issues and improve user experience
Identify opportunities to streamline processes, reporting, and automation.
Qualifications We’re Excited About
Education: Bachelor’s degree or diploma in a business-related program. Education or accreditation in event planning or event management is preferred. PMP designation is an asset.
Experience:
2-4 years of corporate event planning experience
2-4 years of project coordination or project management, demonstrating expertise in managing complex timelines and deliverables.
2-4 years of stakeholder engagement experience, fostering strong relationships with vendors, sponsors, and internal teams.
Technical Expertise: Proficiency in project management tools (e.g., Monday.com), event technology platforms (e.g., ON24, EventMobi), and Microsoft Office Suite).
Creative Vision: An eye for style, venue aesthetics, and the ability to craft events that align with HRPA’s values while delivering a “wow” factor.
Communication Skills: Exceptional written and oral communication skills, coupled with strong interpersonal abilities to engage effectively with speakers, attendees, and partners.

Working Conditions: Occasional travel to event locations. Flexibility to support events outside standard hours, including early mornings and extended days when required.
